Enrollment and agreements

Getting a member on the books.

Signup Your own branded signup page, link and QR code. Members enroll and pay themselves, without a call to the front desk. A tablet flow covers signups at the desk.

Agreements Generated from your billing configuration so the document always matches what the member is actually charged. Signed electronically at enrollment and stored against the member.

Versioning When your terms or fees change, new agreements are issued and collected in bulk. Existing members stay on the version they signed until you move them.

Provider check We check your NPI against the national provider registry before the account goes live. Payment setup runs its own identity and business checks on top of that.

Terms, money and the awkward cases

Annual billing without the spreadsheet.

Terms Annual, semi-annual, quarterly or monthly. Each member carries their own term and renewal date, or you align everyone to a common date.

Installments Split an annual fee across installments on any cadence. The schedule is tracked, so nobody has to remember where a member sits in it, and a mid-schedule cancellation settles correctly.

Proration A member joining in March, upgrading in August, or moving to a different fee mid-term. The proration is calculated for you, forwards or backwards.

Cancellations and refunds The unused portion is worked out to the day and refunded. Our fee is returned to you on every refund you issue, automatically, so a refund never costs you more than the member paid.

Per-member pricing Legacy rates for long-standing patients, founding member rates, professional courtesy, staff rates, hardship arrangements. A member's price is a property of the member, not an exception someone has to remember.

Discounts Percentage or fixed amount, one-off or every renewal, applied to a member or across a household. Set the rule once and it carries forward.

Households A couple or a family on one invoice with one renewal date and your household rate applied across it. Where a household needs more than one payer, for example an adult child paying their own membership at the family rate, the household stays one unit and each member is billed to their own account.

Payments, renewals and recovery

Getting paid, and noticing when you are not.

Payment methods Bank payment by default with cards optional. On a $5,000 annual membership, bank payment costs about $5 to process against roughly $145 on a card.

Renewals Every term tracked. Notices go out, confirmations come back, and next year's plan is in place before the renewal date rather than after it.

Failed payments Worked to resolution rather than left to lapse quietly, with the recovered amount reported back to you. Nothing is suspended without your sign-off.

Member self-service Members update payment details, pay an invoice, or cancel through the period they have already paid for, without calling you.

Reporting Members, collections, upcoming renewals, failed payments and panel health, per provider or pooled across a group.

Migration

We move your existing book, free, before you pay anything.

Four steps, and you sign off on each one. Nothing charges a member until you have checked the book against your own records. The steps are the same whether you are coming from a spreadsheet, a generic billing tool, or a platform you are leaving, and whether your staff or our team runs the billing afterwards.

The boundary

Where our job stops.

We do Move your data, set you up, train your staff on the parts they will use, and run and maintain the platform. Email support, with phone for anything critical.

You do Re-enrollment and day to day billing decisions. Who gets which rate, who is chased, who is written off. It is your practice.

Your account Membership payments settle to a Stripe account in your practice's name. Stripe's processing fees and any disputes sit on that account, and our per-member fee is taken from each invoice.

Not an EMR MedAlly runs beside the clinical system you already use and does not replace it.

Would rather we ran it?

In-House is for a practice whose manager or biller can own membership billing, with our help through migration and setup. If you would rather hand us the whole membership operation, our team runs it instead of your staff. Priced per practice, by application. Limited availability.
